Privacy Policy

This Privacy Policy explains how ClayPass ("ClayPass," "we," "us," or "our") collects, uses, shares, and protects your personal information when you use the ClayPass website, applications, and membership network (the "Service"). By using the Service, you agree to this Policy. It is part of our Terms of Service.
Our promise to shooters
We know what it means to keep a record of where and when gun owners shoot — so we hold ourselves to this: we never sell your personal information for money; we never share your check-in or shooting history with anyone except the club you check in at; we don't provide your information to insurers, marketers of firearms data, or government agencies unless the law compels us; and you can delete your account and data at any time by emailing privacy@claypass.com.
1. Information we collect
- Account & profile: name, email address, mobile phone number, password (stored hashed), date of birth (used to confirm you are 18+), and mailing address.
- Shooting preferences: disciplines, equipment/rental needs, and club preferences you provide, plus the Home and Preferred Clubs you select.
- Location: approximate location derived from your address or ZIP, and — only if you allow it — your device's GPS, used to power a "near me" sort and trip features. We may use a third-party geocoding service to convert an address into coordinates.
- Activity: reservations, check-ins, event registrations, squads/buddies activity, reviews, and support messages.
- Payment: when membership billing is enabled, payments are processed by our payment processor (Stripe). We do not store full card numbers; we receive limited billing details and subscription status.
- Communications & AI assistants: messages you send us, and messages you send to in-app AI assistants (which may be processed by a third-party AI provider).
- Technical: log data such as IP address, device/browser information, and usage, including for security and abuse-prevention (for example, sign-in attempts).
2. How we use information
- To create and manage your account, verify your phone, and confirm eligibility (18+).
- To provide the Service — discovery, member rates and perks, reservations, check-in, events, squads, and community features.
- To process memberships, free trials, billing, and renewals, and to communicate about them.
- To personalize features such as "near me" sorting and recommendations.
- To send service messages, and — with your consent where required — reminders or marketing you can opt out of.
- To maintain safety and security, prevent fraud and abuse, and enforce our Terms.
- To comply with legal obligations.
3. How we share information
- Partner Clubs: when you reserve, check in, or register for an event at a Club, we share information the Club needs to recognize and serve you (such as your name, member status, and reservation/check-in details). Clubs are independent businesses and use that information under their own privacy practices.
- Service providers / processors: companies that help us run the Service, such as our payment processor (Stripe), SMS provider (Twilio), email delivery, hosting, a geocoding provider, and an AI provider (Anthropic) for in-app assistants. They may process your information only to provide services to us.
- Legal & safety: when required by law or legal process, or to protect the rights, safety, and property of ClayPass, our members, Clubs, or the public.
- Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Policy.
We do not sell your personal information for money. Some sharing for analytics or advertising may be considered a "sale" or "sharing" under certain state laws; where it is, you may opt out (see "Your rights").
4. Your privacy rights
Depending on where you live (for example, under the California CCPA/CPRA and similar laws in Virginia, Colorado, Connecticut, and other states), you may have the right to:
- Access or receive a copy of the personal information we hold about you (data export).
- Correct inaccurate information.
- Delete your account and personal information.
- Opt out of any "sale" or "sharing" of personal information and of targeted advertising.
- Not be discriminated against for exercising these rights.
You can manage much of your information in your account settings. To exercise a right — including account deletion or a data export — contact us at privacy@claypass.com. We will verify your request and respond within the timeframes required by applicable law. You may use an authorized agent where the law allows.
5. SMS & phone (consent)
We send a verification text to confirm your phone number at signup. With your consent where required, we may send account or reminder texts. Message and data rates may apply. You can reply STOP to opt out of non-essential texts and HELP for help. Opting out of texts may limit features that depend on a verified phone.
6. Email
We send transactional emails (such as account, billing, and reservation notices). Any marketing email will include an unsubscribe link; you can opt out at any time. Transactional messages necessary to provide the Service may continue after you opt out of marketing.
7. Cookies
We keep cookies to a minimum and do not run analytics or advertising cookies. Here is exactly what may be set and why:
- Session cookie (strictly necessary): a first-party cookie that keeps you signed in and secures the sign-in and club-claim flow. Set only once you interact with those features. The site cannot work without it, so it needs no consent.
- reCAPTCHA (strictly necessary — security): Google reCAPTCHA runs on our public forms to block bots and fraud. It may set cookies from Google. Because it is a security measure that protects the Service and everyone who uses it, it loads on every page and is exempt from prior consent. If you disable it, our forms may stop working.
- Consent choice (strictly necessary): when you answer the cookie banner we store your choice in a first-party
cp_consentcookie for 12 months, so we don’t have to ask again. Clearing it makes the banner reappear. - Google Maps (optional — only if you allow it): the range map on the Clubs & Ranges page loads Google Maps, which sets its own cookies. We do not load it until you choose “Accept all” in the banner, or click “Show map” on that page. Reject non-essential and it never loads.
You can change or withdraw your choice at any time using the Cookie settings link in the footer, and you can also control cookies through your browser.
8. Data retention
We keep personal information for as long as your account is active and as needed to provide the Service, then for a reasonable period to meet legal, security, fraud-prevention, accounting, and dispute-resolution needs, after which we delete or de-identify it. When you delete your account, we delete or de-identify your information except where we are required or permitted to retain it.
9. Security
We use administrative, technical, and physical safeguards designed to protect your information (for example, password hashing, encryption in transit, access controls, and abuse throttling). No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your information, we will notify you as required by law.
10. Children
The Service is intended for adults 18 and older. We do not knowingly collect personal information from anyone under 13, and accounts are not for children. Where minors participate at a Club or event, they do so under the Club's rules and the supervision of a parent or legal guardian. If you believe a child has provided us information, contact us and we will delete it.
11. Geographic & state-specific rights
Privacy rights and our obligations vary by state and country. If you are in a jurisdiction with specific privacy rights, those rights apply to you and you may exercise them as described above. The Service is operated in the United States; if you access it from elsewhere, you understand your information will be processed in the United States.
12. Third-party links
The Service may link to Clubs' own registration pages or other third-party sites. Their privacy practices are their own and are not covered by this Policy.
13. Changes to this Policy
We may update this Policy from time to time. If we make material changes, we will provide notice and update the effective date above. Your continued use of the Service after a change takes effect means you accept the updated Policy.
